Nubla Expeditions
Booking conditions
How to book, how to pay, and what happens if you need to cancel.
What is outside our control
Some services are issued by the government or the rail operator, under rules no agency can change. Worth knowing before you book.
- Machu Picchu entrance ticket. Also issued in your name. At the gate you must show the original document used to buy it: passport for foreign visitors. Without it you will not be let in, even with the ticket paid.
- Train to Aguas Calientes. The rail operators apply their own change and cancellation penalties, separate from ours.
This is why refunds cannot be the same across every tour: a city tour has nothing issued in advance, and a multi-day route to Machu Picchu does.
Booking and payment
A 30 % deposit confirms your booking. The balance is due the day before the tour, at our office in Cusco or by bank transfer. Named tickets and permits, such as the Machu Picchu entrance, are bought the moment you book and charged in full up front, because the government issues them at that point and does not refund them.
- Bank transfer in soles or US dollars
- Yape and Plin
- Credit or debit card, via a payment link
- Cash at our office in Cusco
Cancellations
- More than 30 days before departure: full refund, less any permits and entrance tickets already issued in your name.
- Between 30 and 15 days before: 50 % refund.
- Less than 15 days before: no refund. On tours without a named permit you may pass your place to someone else at no cost.
If we are the ones who cancel — weather, trail closure or lack of availability — you choose between rescheduling at no cost or a full refund.
If there is a strike, a blockade or no train
It happens in Cusco: a strike is called, the railway is blocked, or weather closes a pass. It is the part almost no agency puts in writing, which is exactly why we do.
- If there is a strike or the railway is blocked, the train does not run. When the interruption is between Cusco and Ollantaytambo, the tour still goes ahead and we drive you to Ollantaytambo instead, which is exactly what was done during the most recent strikes. That transfer is on us.
- If the line is cut further along and the train cannot reach Aguas Calientes, the rail operator reschedules or refunds the ticket, and we move the rest of the programme to another date or refund what was not used. We never write off a service that was not delivered.
- If the disruption catches you already in Aguas Calientes, one of our staff takes charge of your group until you are out, and we cover the accommodation for any extra nights the blockade forces on you.
- If a blockade is announced in advance — strikes are usually called days ahead — we message you before you travel and move the date with no penalty, even if you are inside the cancellation window.
- If weather closes a mountain pass or there is landslide risk, your guide may change the itinerary or end it. That call is made on the route on safety grounds, and it is not waived at the group’s request.
Your data
To issue permits and entrance tickets with the authorities we need yourfull name exactly as it appears on your passport and that passport number. They cannot be purchased without those details; we do not ask for them for any other reason.
The form on this site does not send anything to a server of ours: it composes a message and opens WhatsApp for you to send it. That means those details travel through WhatsApp and are subject to that app's terms.
